Advanced Media Co., Ltd. Recently, the external monitoring system of the assembly has been strengthened, and there is an increasing demand for early information disclosure. Furthermore, in the current severe administrative finances, reducing the cost of creating meeting minutes has become an issue. In such a situation, this system has responded to the need for cost reduction and speeding up the disclosure of information since it went into full operation at Numazu City Hall in Shizuoka Prefecture in June 2004.
The Hakone Town Council was also required to handle a large number of meetings with limited resources, and long working hours were unavoidable to prepare meeting minutes, making cost reduction a challenge.
The system's implementation in Hakone Town Council is based on Advanced Media's extensive implementation track record in 30 local governments across the country, including Numazu City Council, Hokkaido Prefectural Assembly, and Tokyo Metropolitan Assembly (in order of implementation), and the system's cost-effectiveness, simple operability, and comprehensive support structure have been highly evaluated.
Uchida, chief of the Hakone Town Council Secretariat, has given the system a positive review, saying, "There were no permanent microphone systems in committee rooms and other facilities, so we used to record with IC recorders, which meant it took a lot of time to create committee records. However, by using microphones and this system, we have been able to speed up the creation of meeting minutes, and what's more, the fact that we could introduce the system without changing the sound system in the assembly hall was a deciding factor. We will be using it throughout the entire town hall in the future, so it will also become cost-effective."
With this latest implementation, Advanced Media has surpassed 30 installations, the most in Japan. Using the know-how it has gained through this track record, Advanced Media aims to expand the implementation of its minutes-taking support system to more than 3 local governments over the next three years, and will continue to provide better services, including cost reductions through improved operational efficiency.
