While efficiency is increasing through the integration of speech recognition and generative AI, accuracy and security remain issues

 Advanced Media Inc. (Headquarters: Toshima-ku, Tokyo; Chairman and CEO: Suzuki Kiyoyuki; hereinafter, "Advanced Media") is pleased to report that it has conducted a "Survey on the Use of Generative AI in Minute Creation" targeting working adults across the country who are interested in improving the efficiency of meeting minute creation.

Investigation background

As AI accuracy improves, the creation of meeting minutes is no longer a task "fully handled by humans," but is shifting to one in which AI generates draft minutes and humans perform the final confirmation and correction. While expectations are rising for the efficiency and labor savings of creating meeting minutes through the combination of voice recognition and generation AI, concerns about accuracy and security still remain.
Given this situation, this survey was conducted with the aim of clarifying the current level of trust in AI, perceptions of the future, and intentions and awareness of issues regarding the use of generative AI.

■Generative AI scores highly in accuracy comparisons with younger employees. However, when not limited to younger employees, humans win in reliability. In the future, generative AI will take the lead in creating meeting minutes.

In response to the question, "Which do you think is more accurate: minutes created by junior employees or those created by generative AI?", 68.9% answered "minutes created by generative AI," with many people expressing a higher opinion of generative AI compared to junior employees.On the other hand, in response to the question, "Which do you trust more: minutes created by generative AI or minutes created by humans?", 66.0% answered "humans," indicating that experienced human judgment is more trusted when it comes to creating meeting minutes today.
Furthermore, in response to the question, "Do you think generative AI will play a major role in creating meeting minutes in the future? Or do you think humans will remain the last line of defense?" 71.2% answered "generative AI will play a major role," indicating that the majority of people believe that the task of creating meeting minutes will shift to generative AI in the future.

Reasons for answering (some representative comments from free responses)
Compared to younger employees, those who answered "generative AI":"Humans cannot keep up with the speed of meetings and often miss things, but with AI, there are fewer gaps in the agenda and the accuracy of the final check is greatly improved."
When compared to younger employees, those who answered "younger employees":"It also understands the background of what is said in meetings and can read between the lines. If the technical terms are not registered in the dictionary, the generating AI will make mistakes."

When asked to compare generative AI with humans, they answered "generative AI":"It makes it easier to grasp the main points (it extracts the main points). There are fewer omissions and errors (it frees up time to check)."
When asked to compare generative AI with humans, they answered "humans":"AI can provide a comprehensive summary, but it doesn't prioritize the information. Ultimately, it can't be trusted unless it's checked by a human eye."

When asked about the role of future meeting minutes creation, they answered "generative AI":"I think the labor shortage will become so serious that we will have no choice but to rely on AI."
When asked who will be the main player in taking meeting minutes in the future, they answered, "Humans":"It seems inevitable that humans will eventually be involved, but if the accuracy of the generative AI improves, the human burden can be significantly reduced."

■ 99.6% of respondents said that transcription using voice recognition tools is "convenient"

In response to the question, "Do you think transcription using speech recognition tools is convenient?", 99.6% of respondents answered "I strongly agree (77.0%)" or "I somewhat agree (22.6%)," indicating that speech recognition tools are "convenient." Only 0.4% of respondents answered "I don't know," indicating that speech recognition transcription is widely accepted.

■ 66.0% of respondents said they would "actively utilize" AI to create meeting minutes.

In response to the question, "Would you like to use generative AI to create meeting minutes?", the most common answer was "I would like to actively use it (66.0%)," indicating that more than half are positive about using generative AI to create meeting minutes. On the other hand, there are also a certain number of cautious people who are "interested, but would like to wait and see how it goes (28.3%)."
Furthermore, only a small number of people answered that they "don't plan to use it much (5.3%)" or "have no interest at all (0.4%)," revealing that many respondents are considering using generative AI in some form.

The most common concern and challenge when using generative AI is "accuracy and reliability."

In response to the question, "What concerns or challenges do you have when using generative AI?", the most common answer was "Accuracy/Reliability (59.2%)," revealing that there are still significant concerns about the accuracy and trustworthiness of the content output by generative AI. The next most common answer was "Security/Information Leaks (50.2%)," indicating that many respondents have concerns about the handling of confidential information.
Although there is a high level of interest in using the service, the environment (security measures, etc.) that allows users to use it safely is insufficient, and it has become clear that these will be the key to its future widespread adoption.

Advanced Media's opinion

In this survey, although the generating AI was rated higher when compared with younger employees, humans were more trusted when compared with humans, regardless of whether they were younger or older. This result suggests that while generating AI is expected to play an important role in the current task of taking minutes, human judgment based on experience, such as the ability to grasp the intention behind statements, the atmosphere of the situation, and non-verbal elements, and the ability to assess the accuracy of content from multiple angles, will continue to be emphasized.

Furthermore, many respondents predicted that generative AI will play a central role in creating meeting minutes in the future, highlighting the trend of business processes shifting from "human-centric" to "generative AI-centric."
Furthermore, the high evaluation of the convenience of voice recognition indicates that AI technology is demonstrating a certain degree of effectiveness in improving the efficiency of meeting minutes creation. While there are high expectations for the use of generative AI in creating meeting minutes, it was found that concerns about "accuracy and reliability" and "security" remain to be overcome in order for this technology to become more widespread.
Based on these results, we believe that the future of meeting minutes creation will see further advances in collaboration between AI and humans, with AI playing a central role while humans make the final confirmation and judgment.
